The Company Our client is a reputable facilities management company with over three decades of experience in the industry, established since 1987; partnered with Knight Facilities Management Australia - a global provider of facilities supports services with operations in 13 countries and over 5,000 employees all across the globe. The Role The Facilities Management Analyst/Administrator provides facilities management helpdesk services within the National Operations Control Centre (NOCC) team who is responsible for a number of operational accounts. An important part of this role includes analysing, managing, and organising information and data, and the provision of advice on policy for Planned, Reactive and Minor works for several clients using the businesses Works Management System (WMS). This includes and is not limited to providing policy advice in the methodology for work order creation, coordinating sub-contractors, client liaison, and work order completion to be achieved within the client contractual Key performance indicators (KPI’s). A typical day may look like this: - The communication conduit between client stakeholders, facilities managers and subcontractors
- Ensure accurate logging of jobs and data in system
- Engage authorised external contractors to attend managed sites as required to ensure required works are attended to within KPI response and resolution times
- Proactively track and manage action items and external commitments within agreed timeframe
- Undertake any administration duties required to support Campeyn Group in the delivery of facilities management services
- Liaising with contractors on scheduled works and inspections
- Keep all compliance records up to date including ESM documentation
- Keep all maintenance records up to date
- Overall responsibility for the effective procedures including retention of data and management of calls
- Manage the CMMS database, including report development
- Manage warranty asset by directing work orders to the installer/ manufacturer
What we would expect: - Ability to manage multiple work requests and suppliers across various sites simultaneously
- Previous experience in building services or project facilities management
- Excellent analytical and organizational skills, multi task and manage a high volume of work
- Demonstrated knowledge of company structure, systems and processes
- Exceptional customer and supplier management skills
- Good interpersonal, written and verbal communication skills including the ability to liaise with both internal and external stakeholders
- Self-motivated, performance driven, flexible and adaptable
- Experience in the management of diverse facilities management issues
- Reliable work ethic and willingness to develop themselves professionally
- Strong computer systems skills including Microsoft Suite and other programs associated with Facilities Management
